Privacy Policy

This policy explains what personal information No Limits 24/7 Health Clubs collects through this website and its online forms, why we collect it, who we share it with, how long we keep it and how you can ask us about it.

Scope: This policy covers this website — nolimitshealthclubs.com.au — and the online forms on it. Personal information held in your membership record is also covered by section 11 of the Membership Terms & Conditions.

1. Who We Are

No Limits Health Clubs Pty Ltd (ABN 87 154 700 857), trading as No Limits 24/7 Health Clubs, of Shop 2, 111 Burke Street, Maryborough VIC 3465, is responsible for the personal information described in this policy.

We are a small, independently owned club. Personal information collected through this website is handled by the club owner and, where relevant, staff members.

2. What We Collect

Most of this website can be browsed without giving us anything. Information is collected in three places:

  • Website analytics — collected automatically on every page, described in section 3.
  • The Digital Cancellation Form — collected only if you submit a cancellation, described in section 4.
  • Friend passes — described in section 5.

Joining, paying and managing a membership happen in GymMaster, our membership system, not on this website. Information you enter there is covered by section 11 of the Membership Terms & Conditions and by GymMaster's own privacy policy.

We do not sell personal information, and we do not use anything collected through this website for advertising.

3. Website Analytics & Cookies

This website uses Google Analytics 4 to understand how people find and use it — which pages are read, which links are used, and roughly where visitors are located. This runs on the public pages of the site.

Google Analytics sets cookies in your browser and collects your IP address, approximate location derived from it, device and browser type, the pages you view and the links you click. That information is sent to and stored by Google, which may process it outside Australia.

We record the following specific actions so we can tell which parts of the site are useful: clicks on membership buttons, clicks through to the GymMaster portal, clicks through to the Training Diary app, clicks on our phone number and email address, and cases where the friend pass page is opened without a code.

Pages that are deliberately excluded. The Digital Cancellation Form, the in-club cancellation iPad and the staff admin pages carry no analytics at all. Nothing you enter on the cancellation form is measured or reported.

Codes and links are not sent to Google. Where a page address contains a personal code or link — the friend pass page, for example — the site strips it before reporting the page view, so the code itself is never sent to Google.

How to opt out. You can block or delete cookies in your browser settings, use your browser's private mode, or install Google's Analytics Opt-out Browser Add-on. The website works normally either way.

4. The Digital Cancellation Form

If you submit a cancellation — either through the personal link we email you, or on the iPad at reception — we collect and store:

  • Your first and last name;
  • Your email address;
  • Your Member ID;
  • Your reason for cancelling and any comments you add;
  • Your signature, as an image;
  • The date and time of submission;
  • The IP address and browser used to submit it.

Why the IP address and browser. A cancellation is formal notice with a 30-day period attached, so the record has to show that notice was given, by whom and when. The submission details are part of that evidence. They are not used to track you around the website and are not linked to analytics.

You are shown a summary of this on the form itself, above the signature box, before you sign.

5. Friend Passes

A friend pass code is issued to you by email and appears in the address of the friend pass page. The code identifies the pass, not you, and the page does not ask for or store any personal information.

As noted in section 3, the code is removed before the page view is reported to Google Analytics, and the page is set never to pass its address on to any other site.

6. Who We Share It With

We share personal information collected through this website only with the service providers needed to run it:

  • Netlify — hosts this website and stores cancellation records. Servers may be outside Australia.
  • Resend — sends the confirmation emails for cancellations. Receives your name, email address and signature image so your copy can be sent to you.
  • Google Analytics — receives the website usage information in section 3.
  • GymMaster — our membership system. Cancellations are processed there against your membership record.

We may also disclose information where required or authorised by law.

We do not sell personal information, and we do not disclose it for anyone else's marketing.

7. How Long We Keep It

  • Cancellation records and signatures — generally up to seven years from submission, where reasonably required for membership administration, legal compliance and resolving disputes. These are evidence that you gave notice on the date you gave it, which is exactly the sort of record you would want us to still hold if a billing question came up later.
  • Unused cancellation links — expire automatically, normally after 14 days.
  • Website analytics — retained by Google according to the retention setting on our property.

When information is no longer needed for the purpose it was collected for, and we are not required to keep it by law, we delete it.

8. How We Protect It

The website is served over HTTPS. Cancellation records are held in access-controlled storage that can only be reached by the website's own server-side code, never directly from a browser.

Your cancellation link is unique to you, expires, can only be used once, and additionally checks your surname when you submit — which is why we ask you not to forward it to anyone.

Staff pages are protected by a password held on the server, which is never sent to your browser, and repeated incorrect attempts are locked out.

No system is completely secure. If a data breach occurred that was likely to cause you serious harm, we would notify you and the Office of the Australian Information Commissioner as required.

9. Accessing & Correcting Your Information

You can ask us what personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it where we are not required to keep it. Email admin@nolimitshealthclubs.com.au or call 0418 436 009 during staffed hours.

We will normally respond within 30 days. We may need to verify your identity first, particularly for anything relating to a membership record.

If you are unhappy with how we have handled your personal information, tell us first and we will try to resolve it. If you are still not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

10. Children

This website is not directed at children. Membership age requirements are set out in the Membership Terms & Conditions. Where a member is under 18, a parent or guardian is involved in the membership and in any cancellation.

11. Changes & Contact

We may update this policy from time to time. The current version is always published at this address, with its version number and effective date shown at the top of the page.
